PT Library Assistant, Civic Services - Somerset County Library System, Bridgewater

Library Assistants in Civic Services act as agents of a US Passport Acceptance Facility and with notary public services; perform specialized tasks requiring training and/or experience with reviewing, handling, and submitting US passport applications.

Performs direct patron service at an SCLSNJ service desk with specialized customer assistance; provides assistance to the public with applying for and submitting US passport applications; reviews documents such as birth certificates, drivers’ licenses, photos, and other forms of identification as part of the US passport application process and to ensure that the information meets Federal requirements; administers US passport oath to applicants; accepts and processes checks or money orders as part of the US passport application process; submits US passport applications and fees according to established procedures; serves as a primary contact for notary services in his/her assigned branch; meets customers’ needs by answering general/directional questions and, when necessary, directing them to an appropriate staff member or a specific area of the library based on the request; provides one-on-one or small group training for patrons regarding the passport application process; prepares daily deposit of passport fees and submits to the SCLSNJ Finance Office according to established procedures; submits statistics and other reports of library services; follows up with patrons regarding questions about the passport application process or notary services; performs other clerical tasks as needed or assigned

 
Qualifications/Requirements: 

Bachelor’s degree, two years of related patron service, library, teaching or computer training experience, or any equivalent combination of education, training and experience which provides the necessary knowledge, skills and abilities; must reside in the State of New Jersey within one year of employment unless exempted by law; reliable transportation to attend training, meetings, and work at other assigned branches or off-site locations as required; for Passport Agent: at least 18 years old; US citizen or national; not under indictment, on parole, or previously convicted for crimes of breach of trust or moral turpitude.

Knowledgeable of US passport application services, library operations, and follows all Library policies and procedures; interpersonal skills – ability to work and interact effectively with others in a positive manner; internal and external patron service skills – ability to provide exceptional service to a diverse community of colleagues and patrons; ability to exercise initiative, good judgment and make sound decisions, and discretion; ability to work under pressure or unsettling circumstances including handling difficult patrons and staff; read, write, and speak English sufficiently to perform the essential functions of the position; technical skills – basic computer skills; ability to use the library’s automated system, general office equipment, printer, photocopier, telephone, and cash register; ability to learn new technologies as required; ability to plan and make presentations to varying sized groups of adults; general mathematical skills.

Morning and afternoon hours Monday - Friday; Tuesday and Wednesday evenings; rotating Saturdays; flexibility required and ability to alter schedule on occasion; work schedule subject to change by Management.

Primary work location will be at Bridgewater Library with travel to other branches on a rotating basis to provide passport services.
