PT- Membership and Communications Coordinator - New Jersey Library Association

General Summary

Assist in the development and implementation of a comprehensive communications and marketing strategy. Increase member engagement and promote the New Jersey Library Association. Enhance and implement the organization’s membership recruitment and retention program. Play a pivotal role in supporting the Annual Conference, vendor relationships, and fundraising efforts.

 

ESSENTIAL JOB FUNCTIONS:

 

●             Primary contact for membership and office inquiries

●             Assist with the development of strategies for membership recruitment and retention, including promotional and marketing campaigns and outreach

●             Formal and informal correspondence with potential and current membership, including institutional and commercial member representatives

●             Oversee association management software and membership records, and assume primary responsibility for maintaining CRM database integrity and consistency

●             Responsible for membership processing, including data base entry of all members, generating and distributing acknowledgements and renewal notices, and following up with pending payments

●             Generate membership reports and other statistics as requested

●             Manage registrations and coordinate association workshops and activities, including annual conference

●             Serve as NJLA Office liaison on conference planning and preparation, including attendance at annual event

●             Establish working relationships with and provide excellent customer service and support to vendors, sponsors and advertisers

●             Coordination and development of communication tools for the purpose of information distribution, relationship-building and PR, including association newsletters, updates, website and social media

●             Assist with fundraising activities and campaigns, including an Annual Appeal drive

●             Organization of office files and archives

●             Maintain a close, positive working relationship with the NJLA Executive Director, Board, association leadership, and other office staff

●             Other duties may be assigned

Qualifications/Requirements: 

REQUIREMENTS:

 

●             Bachelor’s degree, preferably in communications, marketing, or related field

●             Exceptional verbal and written communications skills

●             Creativity and superior interpersonal skills

●             Strong attention to detail, commitment to quality control and a basic sense of good aesthetic design and visual appeal (i.e., be able to develop visually appealing, polished, effective communications for varying purposes)

●             Comfortable working with basic technology, and proficient in Windows, Microsoft Office, publishing programs, website editing, social media, CRM software and membership databases

●             Highly organized, self-directed and able to juggle multiple priorities effectively

●             Able to work well under pressure and enjoys working both independently and as part of a team

●             Flexible availability, as requested, for assistance at workshops/events at various locations in the state, including the NJLA annual multi-day conference

●             Prior non-profit experience; experience in membership organizations and with membership recruitment/retention; and sense of humor all definite pluses

WORKING ENVIRONMENT AND PHYSICAL REQUIREMENTS:

This position is scheduled for a 20-hour workweek. Work is performed at the NJLA office located at 4 West Lafayette Street, Trenton, NJ. The current office is located on the second floor and is only accessible by stairs. The office is not equipped with an elevator.

Work is performed primarily in an office environment while sitting (at a desk or computer station) or standing for extended periods of time. Physical exertion may be required to life office supplies and library materials up to 25 pounds. Specific vision abilities include close vision and the ability to adjust focus. The need to responds to competing needs or meet deadlines could cause time of stress. Equipment used includes personal computer and various office machines. Training on tools and procedures is available.

This position requires a valid driver’s license and the ability to have transportation to attend meetings outside of the office. Participating at the Association’s Annual Conference is expected.
